
The Appointment Scheduler in the MyOMCA Event Portal is open from October 28th to November 6th. This portal is the one-stop-shop for:
- Viewing your appointment schedule
- Submitting requests for additional appointments
- Responding to appointment requests
- Cancel appointments
- Send messages to other delegates
- Export appointment schedule
How to Use Manual Scheduling
VIEWING YOUR APPOINTMENT SCHEDULE
- Log into the MyOMCA Event Portal
- Click on Appointment Schedule
- In the new window, review your schedule
- To Export or Print your schedule, click Export from the Menu and select your preferred export format
**NOTE**Manual scheduling remains open throughout the event. Printing/Exporting your schedule will not reflect appointment cancellations and changes made through manual scheduling.
The most accurate version of your schedule is always the one in the MyOMCA Event Portal or event app.
SUBMITTING MANUAL APPOINTMENT REQUESTS
- Select all open appointment time slots in your schedule by clicking Select Open
- Then click Request Appointment
- In the new window, search for the company that you wish to meet with OR click Search to list all buyers/sellers with open appointment times matching yours
- On the right side of the screen, buyers/sellers with an Available status have open appointments matching you. The results will also list those you have already sent a request to and those who you are already scheduled with.
**NOTE**If a company does not appear on the list, it means that they do not have an open appointment matching yours. - Select the companies you wish to request appointments with and click Add Delegates
- With the delegates listed under recipients, click Request Appointment
RESCHEDULING APPOINTMENTS
- On your schedule, click and highlight the appointment for which you wish to change the time.
- With the appointment still highlighted, click the “Request Change” button at the bottom.
- Select the preferred time and date you would like and include a note about the reason for the change
- Click “Request Change”
CANCELING APPOINTMENTS
- **NOTE** The only valid reasons to cancel appointments are:
- When you have both acknowledged that the appointment is not useful to either party (eg. An Ontario-Only tour operator meeting with a seller from California)
- When you are physically unable to attend the appointment due to illness or emergency
- Select the appointment that you wish to cancel
- Sellers: Click Request Cancellation and write a detailed note of the reason for cancellation
- This will send a cancellation request to the buyer for approval. If the buyer wishes to meet with you anyway, you can decide together if the appointment should resume as normal or if it should be rescheduled. If no action is taken within 4 hours of the cancellation request, the appointment will automatically be cancelled in both schedules
- Buyers: Click Cancel Appointment
- You MUST provide a detailed and valid (see above) reason for the cancellation
- The appointment will be cancelled immediately
RESPONDING TO APPOINTMENT CHANGE REQUESTS
- Click the Requests to Me menu option
- For each request, check the Status. If Pending, click the Action button in the Details Tab.
- If accepting an appointment request, pick a time slot from the list (even if there is only one) and then click Accept
- If accepting a cancellation, click Accept
BLOCKING AND UNBLOCKING APPOINTMENT TIME SLOTS
- If you wish to block/unblock a time slot, simply select that timeslot and click the appropriate button (Block or Unblock)
- When Blocking a time slot, you will be asked for a description that you can see in your schedule in the time slot (eg. Call with Bob)
